MXO is a dynamic and lean Melbourne-based e-commerce business specializing in parts and accessories for heavy motorcycle enthusiasts. The company is a one-man show, run solely by its owner, Brendan. MXO utilizes a high-volume, low-inventory dropshipping model. This model allows the company to offer an extensive catalog of over 500,000 SKUs across its dedicated web store and the eBay marketplace. The entire operation, from inventory to multi-channel sales, is managed through the Maropost e-commerce and order management platform.

Challenges

MXO’s business model relies entirely on the accuracy and timeliness of its inventory data, which is sourced from over 10 different vendors. The existing manual data processing frequently failed, creating a critical operational bottleneck.

The process of updating inventory data to Maropost failed frequently, resulting in inaccurate stock-on-hand levels being displayed to customers.

Data arrived from vendors on inconsistent schedules and in various formats (email, Dropbox, FTP), placing a heavy manual burden on the owner to validate and process.

Solutions

We designed and implemented a robust, end-to-end automation solution to replace the failing manual processes and build a reliable data pipeline. This solution was engineered to automatically validate, process, and synchronize inventory data, ensuring accuracy across all sales channels.

Automated Data Retrieval

A custom process was created to automatically fetch vendor data from all sources (email attachments, Dropbox folders, and FTP servers), validate the files, and upload the inventory data directly to Maropost via its API.

Dedicated eBay Stock Synchronization

We implemented a separate process to push accurate and validated stock-on-hand quantities from Maropost to eBay, ensuring stock levels consistently match between both channels.

Streamlining New SKUs

The automation process was enhanced to validate and identify new SKUs within the vendor data. This streamlined the listing process for new SKUs, enabling the business to expand its catalog with ease

Automated Replenishment

A process was established to automatically calculate restocking needs, enabling proactive inventory management and significantly reducing “out-of-stock” occurrences.
