Based on our experience implementing iDempiere, there are several scenarios that require users to enter master data quickly directly within the transaction menu. These scenarios typically occur in customer-facing industries, such as retail stores. The most common example is when a business operates a physical store and receives numerous walk-in customers every day. Since the store encounters new customers daily, a method is needed to quickly fill out Business Partner data, such as their name, address, and phone number.
Quick Entry
This is where Quick Entry serves as the solution to this problem. Quick Entry allows for the rapid entry of master data within transaction menus; for instance, you can input Business Partner data directly within a Sales Order without having to switch menus. You can also define exactly which fields need to be displayed in the Quick Entry form, ensuring it remains focused strictly on the essential data. To demonstrate how to use Quick Entry, we will use the scenario mentioned above: inputting a new Business Partner within the Sales Order menu.

To do this, navigate to the Sales Order menu and click the Create New button to enter a new Sales Order. If you have a new Business Partner, right-click on the Business Partner field, and a New option will appear. Click New, and a small pop-out window will open to let you input the new Business Partner. Fill in the required fields, such as the Business Partner name, Contact name, phone number, email, and the Location field containing their address.

Once finished, click OK, and the new Business Partner will be automatically created. This new Business Partner will also be automatically populated into the Business Partner, Location, and Contact fields within the Sales Order.
What if there is an input error in the newly created Business Partner? To modify it, simply right-click on the Business Partner field again, but this time, select the Update button. The pop-up menu that appears will now display the data of the recently added Business Partner.

Edit the desired fields and then click OK. The fields will be updated immediately, and the changes will also be reflected within the Sales Order menu.

This scenario occurs when we already know that the incoming customer is new. However, more often than not, users are required to ask for the customer’s name first and check if they have previously been entered as a Business Partner in iDempiere. The usual step is to type the provided name into the Business Partner field to perform a search first. If the Business Partner is found and matches, you can simply select them. If they are not found, a new record must be created.
Within the Business Partner Info window, there is also a New button at the bottom, marked with a + icon. Click this button to create a new Business Partner and fill in the data as previously described. Once done, click OK, and the new Business Partner can be selected directly from the Business Partner Info window to populate the Sales Order.

Quick Entry Display
Besides Business Partners, other master data can also be configured to include a Quick Entry option. The Business Partner Quick Entry itself is configured by default in iDempiere. To configure Quick Entry, simply log in with the System Administrator role and navigate to the Window, Tab, and Field settings. Search for the Window where you want to enable Quick Entry, such as Product or Charge. Next, find the Field you wish to display within the Quick Entry form and check the Quick Entry box. Once done, this master data can also be entered via Quick Entry by right-clicking on the respective field.
